Hirevex AI, Inc. ("Hirevex AI," "we," "us," or "our") is committed to protecting the privacy of individuals who interact with our website, platform, and services. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you.
This policy applies to visitors of our website (hirevex-ai.com), trial users, paying customers, and individuals whose data we process on behalf of our enterprise customers. For enterprise deployments, a Data Processing Agreement (DPA) is available on request at privacy@hirevex-ai.com.
When you create an account or contact us, we collect: full name, work email address, organization name, role or title, billing information, and authentication credentials.
With your authorization, we process data you connect to or submit through the platform. This may include: network telemetry, access logs, identity and authentication events, endpoint activity signals, communication metadata, and workflow data. The scope is defined by your deployment configuration and documented in your Order Form.
We automatically collect: IP addresses, browser type and version, device identifiers, pages visited, session duration, feature usage patterns, error logs, and performance data. This information is used to operate, maintain, and improve the platform.
If you contact our team, we retain records of that communication including the content of emails, support tickets, and meeting notes for the purpose of providing support and maintaining account records.
We do not sell personal data to third parties. We do not use Customer Data for advertising or marketing to third parties.
For individuals in the European Economic Area (EEA), UK, or Switzerland, we process personal data under the following legal bases: performance of a contract (for service delivery), legitimate interests (for security, fraud prevention, and product improvement), compliance with legal obligations, and consent (where explicitly obtained, e.g. for marketing communications).

A current list of subprocessors is available upon request. We notify customers of material subprocessor changes with at least 30 days' advance notice.
Retention periods are configurable by your organization within the platform. Default retention periods for platform logs and telemetry data are 90 days unless extended by your configuration. Upon account termination or deletion request, we anonymize or delete personal data within 30 days, subject to legal hold requirements. Some anonymized aggregate data may be retained indefinitely for product improvement purposes.

Hirevex AI, Inc. is based in the United States. Data may be processed in the US and other regions where we or our subprocessors operate. For transfers from the EEA, UK, and Switzerland, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission, or equivalent transfer mechanisms. Enterprise customers requiring data residency within specific regions should contact us to discuss available deployment configurations.
We implement technical and organizational measures appropriate to the risk level of data processing, including encryption in transit and at rest, access controls, regular security assessments, and incident response procedures. See our Security page for more detail.
We may update this policy from time to time. Material changes will be communicated via email or in-platform notice at least 30 days before taking effect. Continued use of the Services after the effective date constitutes acceptance of the updated policy.
